Portal terminology

This page explains common terms you will see when using the Health Business Services (HBS) portal.


Announcements

Announcements are messages displayed on the HBS home page that provide important updates or notices. They may relate to system changes, upcoming maintenance, or other information relevant to using the portal.


Contact email

Your contact email is the email address we use to contact you directly, for example if there is an issue with your user profile.

Your contact email:

  • can be the same as your sign in email, or a different one
  • must be an email address only you can access
  • can be a personal or work email address.

HBS home page

The HBS Home page is your main starting point in the portal.

From the Home page, you can access:


Identity verification

Identity verification is a one-time check used to confirm who you are when you register for the HBS portal.

The type of identity verification you need to complete depends on how you register.

You only need to complete identity verification once. It is used to help protect your information and prevent fraud.


Invitations

An invitation is a request for you to join an account within a portal service.

If you are invited, you will receive an invitation email. You do not need to be registered for the HBS portal to receive an invitation.

Accepting an invitation allows you to access and act on behalf of the account you have been invited to.


Link to a service

Linking to a service connects you to a specific service in the portal.

When you link to a service for the first time, some information from your user profile is shared with that service. This allows the service to create your service user profile and give you access.

Some services may have different or extra linking steps. If this applies, you will see this information before you link.


Linked service

A linked service is a service you have successfully linked to and can access from My services on the HBS home page.


My services

My services shows your linked services.

Each service appears as a service tile.

Select a service tile to go to that service’s home page.


Register

Registering creates your user profile so you can access services in the HBS portal.

You can register using one of the following options:

  • Use Digital ID

    This registration option uses myID and requires at least Standard ID strength.

    myID is the Australian Government’s Digital ID app. It lets you securely prove who you are online using encryption and other security features to help protect against identity theft.

  • Use your email

    If you do not have Australian identity documents, you can register using your email address and a password.

    As part of the registration process, you will need to complete a one-time identity verification using an international photo ID. You will need a photo ID and a mobile phone with a camera.

Service tile

A service tile shows:

  • the service name
  • a short description of the service.

You can find more information about available services on the Portal services page.


Sign in

Once you are registered, you must sign in each time you use the HBS portal.
When you sign in, you will also be asked to accept the Terms of use.

Your sign in method depends on how you registered.

  • If you registered with Digital ID, choose Use Digital ID on the Sign in page.
  • If you registered with email, then choose Use your HBS sign in details on the Sign in page.

Sign in email

Your sign in email is the email address you use to sign in to the portal:

  • your myID email, or
  • the email you registered with if you use email sign in.

This email is only used for authentication, signing in and password resets. You can provide a different email address, such as a work email, as your Contact email.


Sign out

To securely end your session, select Sign out from the menu in the top right corner of the portal.

For security reasons:

  • you will be signed out automatically after 15 minutes of inactivity
  • you will receive a warning after 10 minutes of inactivity.

User ID

Your User ID is a unique 9-digit number linked to your user profile.

It stays the same across the entire portal, including any services you link to.

You can use your User ID to help the HBS Support Team or a service support team quickly identify you if you contact them for help.


User profile

Your user profile is your personal profile in the HBS portal. You must have a user profile to access services in the portal.

Your user profile contact details are separate from any contact details you provide for organisations you represent within services. These details will only be used to contact you about HBS portal-related matters, such as sign in issues.

We recommend using personal contact details for your user profile, as it is not linked to any specific organisation you may work for.

Once your user profile is set up, you can link to a service.


Your sign in details

Your sign in details are shown in your user profile and include:

  • your Sign in type (myID or non-Digital ID (registered with an email))
  • your Identity strength (myID only)
  • your Sign in email (your myID email or the email you used to register).
